Custom School Sportswear Guide: From Requirements to Delivery Confirmation
School sportswear often involves different year groups, activities and identity requirements. Separating needs into product, wearer, visual identity and administration timeline can reduce repeated clarification later.
Organise wearer and activity information
Confirm the wearers, year group or team, activity type and frequency of use. If the new garment needs to match an existing uniform, provide current colour information or a usable sample reference.
Where multiple styles are required, maintain a separate line for each style with its name, expected quantity, size range and whether personal names or numbers are required.
Manage school identity elements
Use authorised source artwork for school crests, team marks and sponsor logos, and state the intended position and size. The school should confirm usage rights for any trademarked or portrait-related element.
It is more reliable to confirm colour using a supplied colour reference, existing garment or approved sample. Screen colours vary by device and should not be the sole final reference.
Break the deadline into confirmable stages
List the event date, internal approval, size collection, artwork approval, sample approval and required delivery date separately. This lets the supplier explain the information required and feasible arrangements at each stage.
If the school needs staged distribution, state the quantities and addresses at the enquiry stage. Delivery options must be confirmed for the actual order requirements.
Keep a decision record
After style, size chart, colours, artwork and quotation are confirmed, retain a clearly versioned record. It can be a useful starting point for repeat orders or a new school year.
When quality or test documentation is needed, record the desired performance, relevant product and report reference rather than keeping only a general certification name.

Material and test information must be checked against the relevant product or report sample. Results apply only to the sample identified in the record.
